We are looking for a Project Management Office (w/m/d) for our leadership team in the global flexibility services organization as soon as possible. You will act as the backbone of operations while also contributing to the team’s strategic direction. In this hybrid role, you’ll blend high-level administrative expertise with strategic coordination, stakeholder engagement, and team operational support. You’ll work directly with senior executives and stakeholders across the organization, ensuring seamless communication and coordination at the highest levels. At the same time, you’ll assist with strategic initiatives, drive team efficiency, and ensure the leadership team’s priorities are executed effectively. Your Responsibilities

  • Executive-Level Support: Provide comprehensive administrative support, including managing complex calendars, scheduling meetings across time zones, and ensure the leadership team is fully prepared for meetings, events, and engagements by managing briefing materials, agendas, and follow-up actions.
  • Strategic Coordination and Follow-Up: Act as a central point of coordination for the leadership team’s priorities, monitoring progress on key initiatives, act as a trusted liaison between the leadership team and internal/external stakeholders, ensuring alignment and clear communication.
  • Stakeholder Engagement: Build and maintain strong relationships with senior executives and stakeholders across the global organization, facilitating smooth coordination and communication on behalf of the leadership team.
  • Meeting and Event Management: Organize and manage high-level meetings, strategy sessions, and team events. Prepare agendas, manage logistics, and ensure meaningful outputs and follow-up actions.
  • Internal Communication: Draft internal communications and updates on behalf of the leadership team, ensuring clear, concise, and aligned messaging to stakeholders. Consolidate and synthesize information for briefings, reports, and presentations, ensuring the leadership team has the data and insights needed for decision-making.
  • Project and Team Coordination: Provide project management support for key strategic initiatives, including tracking deliverables, timelines, and team contributions to ensure smooth execution. Support operational efficiency across the team by implementing and maintaining shared systems, processes, and tools.
  • Confidentiality and Discretion: Handle sensitive and confidential information with absolute professionalism, ensuring that all communications and documentation are managed with discretion.

 

Your Profile

  • Proven Experience: Significant experience in a similar hybrid role supporting senior management in a global corporate environment. Experience in energy, technology, or similar industries is advantageous. 
  • Education: Bachelor’s degree preferred, with additional qualifications in business administration or project management considered a plus. 
  • Strategic and Operational Acumen: Strong ability to balance administrative tasks with broader strategic priorities, anticipating needs and acting proactively to resolve challenges. 
  • Stakeholder Management Expertise: Experience working with senior executives, internal and external stakeholders, and cross-functional teams, with the ability to build trust and foster collaboration. 
  • Project Coordination Skills: Proven ability to manage multiple initiatives, track deliverables, and ensure alignment with strategic objectives. 
  • Global Perspective: Comfortable working in a globally distributed environment, with the ability to coordinate across time zones and navigate cultural nuances effectively. 
  • Outstanding Communication: Exceptional written and verbal communication skills, with the ability to distill complex information into clear and actionable insights. 
  • Technologically Proficient: Proficient in Microsoft Office Suite and collaborative tools (e.g., Teams, Slack, project management software). 
  • Discretion and Professionalism: Highly professional with a strong sense of confidentiality and discretion when handling sensitive information. 
  • Flexibility: Willingness to support a globally distributed leadership team, including occasional travel as needed.
